Recreation Commission Minutes 02/16/12
Evendale Recreation Commission
February 16, 2012

Meeting called to order at 7:31am.
Roll call: John Doviak, Georgia Bergan, David Nichols, Stiney Vonderhaar, Pamela Meyers, Katie Touvelle, Gus Janszen.

otion to approve the January minutes was made by Pamela Meyers; seconded by Georgia Bergan. Motion approved.

New Business:
A. 2012 Department Goals from Commission
· Hire a new Adult Program Specialist
· Complete Phase III of the Bike Master Plan and begin researching funding options

B. 2013 Budget “wish list” from Commission
· Purchase and install one, or two, additional umbrellas at the aquatic center
· Replace the televisions in the fitness center
· Expand soccer field #3 in preparation for smaller sized soccer teams (which is the current national trend)
· Purchase another NuStep machine

Old Business:
A. Lifestyle Essentials monthly report - as noted in the packet.
· One popular class (Pump-n-Pedal), which had been cancelled, is being offered, again.
· No feedback has been received, by members, regarding the awarding of the fitness center management contract.

B. Evendale Bike Master Plan update:
· Phase III completion is budgeted in 2012 funds
· CACC held a meeting in January; no major news to report. Next meeting is March 28th, 3:00pm in Glendale.
· Sharrows have been added to Glendale Milford; bicyclist artwork to be added.
· Blue Ash has begun work on the new recreational park at the airport site.

Director’s Report:
· Vonderhaar’s Catering will not be here on July 4th. They were awarded the contract to be the exclusive caterer for The Cooper Creek Event Center (the new Blue Ash Golf Course clubhouse). Vonderhaar’s has recommended another vendor.
· Contact information for commission members was distributed to each member.
· A copy of the NAYS Award article, mentioning the department and Sports Supervisor Kristen Maiden was reviewed by the members. David also has a video of the PowerPoint presentation submitted to NAYS that was played at the national conference.
· The department has licensed with Team Unify to manage our swim team registration, news, and meet assignments online. Parents will also be also to volunteer online to work meets and team events.

Phi Lambda Pi Report:
· Average attendance is fifteen to twenty. Winter swim team just ended for many of the schools; so average attendance should increase in the future weeks.
· Recently, seven members went to Indiana for a weekend of snow-tubing, cave exploring, and light hiking.
· Twelve members volunteered at the department’s Daddy Daughter Dance.
· Wednesday night activities have included indoor tennis, decorating ceiling tiles in the teen room, and designing shoe laces.
· An effort is being made to recruit the younger members for the various trips. The Myrtle Beach trip has already reached its minimum of ten in order for the trip to take place.

Open Discussion:
· The Mayor is still looking for an Evendale business person to join the Recreation Commission. Stiney will discuss the need at the next Evendale Chamber meeting.
· There has been much positive feedback regarding the security card reader installation at the southwest entry door. (Thank you Stiney for suggesting the idea.)
· Council recently accepted and passed the Gorman Heritage Farm Five Year Master Plan. This plan includes a trail which will be installed, and maintained, by the village. The commission thinks fences, and drainage, remain issues on several trails within the farm.
· Gus recently attended the Daddy Daughter Dance. He would suggest barbeque be removed from the list as food options in the future. Many little girls wear white or light colored dresses. Also, he passed along that the girls prefer the gym to the Flex Room. Gus understands, with the smaller attendance numbers, the Flex Room gives a cozier feel.  If we have another low registration number next year, we might consider merging with Sharonville’s event and alternating gymnasiums yearly.
· FAFSA seminar had more attendees that expected. This was a wonderful response for our first try at these types of seminars. Another one was held last night (Feb. 15th) for parents of middle school aged children who want to learn strategies to help better prepare them for the cost of college.

A motion to adjourn was made at 8:18am by Stiney Vonderhaar; seconded by Gus Janszen. Motion approved.
